About the job

As Senior Management Support Officer role integrated within the scope of the COO Office, it is expected that he/she is able to contribute to the results of the Management Support Team, taking advantage of staff and budget follow-up experience and expanding knowledge in the different areas managed by the team. Furthermore, he/she is expected to identify and correct issues or errors, escalating in case of any exceptional or irregular situation, and define the new processes and procedures necessary for the activity while ensuring the dissemination of the former and global knowledge. Additionally he/she must be able to present the activity to all Management Support stakeholders and perform local and/or global activities with various levels of interaction.

To conclude, he/she must respect the norms of BNP Paribas Portugal and perform tasks and/or participate in transversal projects and initiatives.

Your Main Activities Are

  • TRANSVERSAL:

Train and coach newcomers on the process

Launch procedures update whenever process changes are implemented being able to coordinate and validate procedures

Support new clients in the process through a training session and availability to assist them with their first requests.

Assist management through collaboration with Finance, Procurement, Refog, IT Support teams in solving issues related to their external staff.

  • STAFF MANAGEMENT:

Master the execution of all activities expected by a management support officer

Actively contribute to the process control coordinating 4eyes check activities;

  • BUDGET FOLLOW-UP:

Create a simple and efficient, budget follow-up model and raise alerts when needed

Budget follow-up of the different scopes providing assistance and support in the reconciliation, investigation and correction of discrepancies

Improve the communication between departments (SM&C, Surcouf, Finance ?)

Reconcile management data and input the budget in Surcouf

Reconcile management budget and raises alerts if needed (Actual Proraté MD, Invoices KPI?s ?)

  • INVOICING AND ACCRUALS:

Master the execution of all activities expected by a management support officer.

Create and contribute to the maintenance simple and efficient, invoicing follow-up model.

Monitor the process, analyse and report deviations to the process (risks and inefficiencies)

Centralize all data to perform more accurate Accruals for Direct Expenses (DE)

  • REPORTING & DATA RECONCILIATION:

Master the execution of all activities expected by a management support officer.

Profile and Skills to Success

  • Excellent communication skills, verbal, written and listening in English. Fluency in French is a plus
  • Strong analysis capacity, rigor and accuracy, dynamism, autonomy, organization and responsibility

About the Team

The Management Support department is inserted in the newly created unit BCP, Controls and Conduct, which aims to ensure a robust control and oversight frameworks to protect our business services and lead our transformation to further strengthen our platform?s operational resilience.

The Management Support team is in charge of the on boarding, off boarding, contract management, budget follow-up, invoicing of external staff and all related data enquiries. Through continuous improvements of processes, the team drives innovation and strives to reduce transactional costs through continuous streamlining of the activity processes and by adopting a partnership approach to accompany our clients and suppliers on their journey. The team works with both internal and external clients and suppliers located in different locations.
