Our Facilities Department is currently seeking a

Facilities Assistant M/F

fluent in English, Portuguese & other European language

to reinforce the team in Porto?s site.

The ideal profile must strong communication skills in English & Portuguese. Knowledge of French and/or Italian languages will be an added value.

Main Responsibilities:

The Facilities Assistant helps oversee and manage the day-to-day operations of a building or facility. Although the responsibilities of the facilities assistant may vary depending upon the organization, there are some common duties. Nearly all facilities assistants handle building repairs (or retain a contractor to do the work).

Functions

The Facilities Assistant may handle something as simple as changing a light bulb to as complicated as installing a new heating system. This position will conduct and maintain building inventories, put together furniture and schedule the use or rental of the building or grounds.

Tasks:
  • Reception desk (receiving / forwarding visitors, suppliers, goods, phone calls?)
  • Planning, management and overseeing building maintenance activities and works;
  • Management of security and health legal requirements;
  • Contribute to reduce risks and incidents;
  • Manage accesses (smartcard creation/removal, employees, suppliers, visitors)
  • Procurement for goods and services: assess the market; compare costs and conditions to facilitate decision;
  • Manage orders to suppliers and follow up;
  • Ensure tidiness, cleanness and products replacement of/in the workspaces (coffee corners, meeting rooms, print corners etc?)
  • Manage travel bookings
  • Organization of events and caterings;
  • Write and update procedures;
  • Issuance of internal communications;
  • Organize /create /update digital folders, maps and tables;
  • Control and validation of supplier?s invoices;
  • Filing;
  • Keep Facilities diary.

Qualifications:

A Bachelor degree is the minimum educational requirement for the Facilities Assistant.

Experience:

At least 3 years in similar functions. Skills & Basic Features:

  • Very good English (and French or Italian is a plus), (spoken/read/written);
